Batch & quick autofill

Batch templates fill one row-repeating document against many cases at once, while a "Run with your documents…" run fills any template against your own PDFs without creating a case.

Both reuse the same fill engine as a single-case run (Running autofill), differing only in scope: many cases into one document, or one template against ad-hoc PDFs with no case to host the result. You'll need multiple cases that belong on the same batch document for batch, or just a template open in the editor for an own-documents run.

Batch templates

Batch is for cyclical work: month-end statements, summary cover sheets, batch invoice exports. Anything where a known set of cases becomes rows on one summary document.

A template counts as multi-case automatically: it's derived from whether the template has a row-repeating (batch) field, not a stored toggle or setting you flip. Add a batch field and the template becomes multi-case; remove it and it runs one case at a time. Only these batch templates appear in the batch bar's dropdown.

The template fills once (each selected case becomes one row) and the per-case files you picked merge in after it. The combined PDF is saved to every selected case's Files section, tagged with the template's output category.

Row order. Rows come out in the order you select cases. A numbered badge (1, 2, 3…) appears on each selected row showing its position. Select all adds every visible case top-to-bottom in the current sort. To enforce an order regardless of selection, set a Row order (optional) instruction on the multi-case field in plain language (placeholder: "e.g. order rows by bid amount, highest first"). When set, it overrides selection order at generation; leave it blank to keep selection order. Simple single-field sorts run instantly and deterministically with zero AI cost; complex instructions are interpreted by the AI at generation, falling back to selection order if it can't resolve them.

Run with your documents (quick autofill)

An own-documents run skips the case lifecycle entirely: no extraction history, no merge logic, no activity timeline. You get a filled PDF. Use it for testing a new template's field placements without polluting your inbox, one-off generation, or quick validation that field mapping holds against a real document.

  1. Open the template in the template editor.
  2. In the toolbar above the preview, click the arrow next to the Run button and choose Run with your documents….
  3. The run modal opens with a Documents section listing each source document. Click Replace on any row to upload your own PDF; rows you leave alone run with the stored copy.
  4. Fill in any form questions, and optionally add a one-off hint in the Special AI Instructions box.
  5. Click Run. The engine extracts and fills, the finished PDF downloads automatically, and the preview pane updates to show it.

Clicking the Run button itself (not the arrow) runs against the template's stored sample documents: the standard Test & Preview flow, no uploads.
