Per-case collaborators

Each case has two collaborator panels: Team for workspace workers, Clients for external portal users. The scope you pick when adding either is the list of file categories they can see on that case.

The two panels

The case detail right rail stacks two collaborator panels, each with its own header icon:

Team members already have workspace access; assignment only controls which files of this case they see. Clients are external people with portal access to this case only. The two panels are peers: adding to one never redirects to the other surface. The same email can be a Worker in your workspace and a Client in someone else's; the two are independent. How visibility works

When you add someone you pick which file categories they can see (e.g. permit, invoice, inspection_report). That single list drives everything: which case files appear in their view, which activity entries they see (anything referencing a hidden file is filtered out), which inbox chips show on the case card, and what the AI assistant surfaces in chat. A collaborator with zero visible categories is warned inline: they'll see no files and should probably be removed instead.

Step by step

2Team: click the person-plus icon (tooltip Assign worker), enter the worker's email (must already be a workspace member), leave Expose files checked, tick Visible categories (All / None shortcuts sit above the list), click Assign
3Clients: click the paper-plane icon (tooltip Send to client), enter the client's email, pick Visible categories, optionally tick entries under Forms to fill (optional), click Send
4The collaborator appears as a row with avatar, name, and a ⋯ menu

Adding either a worker or a client sends a real email directly from Document Blueprint with a portal sign-in link, one of the few places the product sends mail on your behalf instead of composing a draft. The body is templated ("a team member" vs "a client" is the only difference); if you ticked forms in the add panel, the email also lists the form names. The row's menu offers Edit visibility, Remove from case, or (clients only) Manage forms. Edit visibility toggles categories on/off and Save: the change applies immediately, reflected on the collaborator's next page load, with no grace period. Manage forms changes exposed forms after the fact, quietly updating the portal's Forms to fill section with no extra email.
